After you launch a survey, Gallup Access tracks and reports aggregate survey completion totals and percentages in near real time. Monitoring these data lets you compare organizational demographic participation, and helps you determine when you can close the survey.

Viewing Participation Reports
Access your surveys by selecting Surveys from the Menu on the upper-left corner of the page.

On the Surveys page, click the name of a live or complete survey to view its details.
Note: To locate a specific survey, use the Status, Template and Search options at the top of the page.

The survey's Review tab summarizes overall survey participation and display a graph of participation activity for the last 30 days. Click View Participation Details on the right side to examine the number of completions, the number of respondents and the completion percentage by team or reporting group.

The Detailed Participation page displays a summary of overall survey participation and a list of the survey's reporting groups. Click Teams to view direct and rollup participation data for primary and custom teams, or click a reporting group to view participation data for each value in the group.
Note: You can filter Reporting Group participation data by two reporting group values at a time.
Scheduling Participation Reports
Schedule participation reports to receive daily emails from Gallup Access with your survey's latest completion totals and percentages. You can schedule these emails during the survey setup process, or you can schedule them at any time until the survey is closed.From the survey's Schedule tab, select Participation Emails on the left side.

Click Receive Emails to display the participation email options.
In the Data area, use the following options to select which data you want to receive:
- Daily total The number and percentage of surveys completed each day, including the cumulative total and percentage.
- By reporting group The number and percentage of surveys completed for each reporting group you select (10 maximum).
- By primary team The number and percentage of direct and rollup surveys completed for each primary team that is part of the survey.
- By custom team The number and percentage of surveys completed for each custom team that is part of the survey.
Note: Gallup Access will create a separate CSV file for each selection.

If you have a trending survey, you can choose to have your participation reports include data from the survey's previous administration, letting you compare participation progress across administrations.
In the Schedule area, use the following options to choose when you want to receive your participation reports:
- Time Zone Select your time zone.
- Time Select the time of day when you want to receive reports.
- Weekly on Select the day(s) of the week when you want to receive reports.
Note: You will receive participation reports from the time your survey launches until it closes, and you will receive a final report within 24 hours after it closes.

In the Recipients area, use the available field to type the email addresses (25 maximum) of the individuals who should receive the participation reports. Separate each email address with a semicolon.

Click Save & Continue at the bottom of the page to save your selections and schedule participation reports for your survey.
