Releasing Reports to Managers

The article explains how to close a survey by releasing reports to all or no managers, and how to edit manager access post-closure using toggles or bulk actions.

Closing the Survey

When closing a survey with teams, choose one option:

  • Release reports to ALL managers
    • Will release reports to all managers immediately
  • Release reports to NONE of the managers
    • Reports can be released at a later time

Editing Manager Access

After survey closure:

Click Edit Manager Access from the Review-tab

Managers’ access can be controlled by:

  • Using the Enable/Disable toggle
  • Selecting multiple users > Actions and choosing:
    • Enable Access
    • Disable Access

Releasing Reports by Reporting Group

Use the Reporting Group option to release reports to specific managers.

Example:

  • Select a reporting group (e.g., Department)

    Reporting Group Selector
  • All managers within the selected reporting group will be displayed

 

Email Notifications

When enabling access:

  • Yes, send emails
    • Managers receive a Reports are Ready email from support@mail.gallup.de 
    • Sent after access is granted and reports are generated
  • No, do not send emails
    • No notification is sent

Managers receive an email stating:

Subject Line: Reports now available!
From: support@mail.gallup.de 

Email (Single Sign-On Version)

Your report(s) are ready

Your team’s results are now available! It’s time to access your reports, discuss with your team, and develop an action plan together.

Please do not forward this email or the links below to anyone else.

Please note: To protect respondent confidentiality, Gallup only generates reports for groups that meet the required minimum respondent threshold set by the survey administrator.

Please click here to access your report.


Email (Non Single Sign-On Version)

Your report(s) are ready

Your team’s results are now available! It’s time to access your reports, discuss with your team, and develop an action plan together.

Please do not forward this email or the links below to anyone else.

Please note: To protect respondent confidentiality, Gallup only generates reports for groups that meet the required minimum respondent threshold set by the survey administrator.

Please click here to access your report. If you have forgotten your password, or if you are new to Gallup Access, click “Need help with your username or password?” and follow the instructions in the email.


Add additional Manager Access

To grant additional managers access to team reports:

  1. Select Teams from the menu

    Teams Section
  2. Click the team name
  3. Click Team Options → Add Members

  4. Search and select the person who should have access to the team report and assign Delegate-role

  5. Select Enable for all projects

    Enable for all projects
  6. Click Save
